STEPS FOR DEFENDING THE DOCTORAL THESIS (AND THE FINAL REPORT)

( from the Institutional Regulation on the Organization and Operation of Doctoral University Studies)


STAGE I (final report defense): 

   1.The doctoral student submits to the secretariat:

           - the thesis in electronic format 

          - the thesis abstract in electronic format 

          - the declaration of originality - printed, dated and signed  A 17 declaration of originality.doc

          - the request for thesis submission in order to defend the final report (at least 10 days before the proposed date for defense) request for predefense.docrequest for evaluation for predefense.doc


        2. The thesis is sent to the doctoral supervisor and to the members of the supervisory committee.

(if changes are necessary at the level of the thesis - due to similarities - the coordinator and the guidance committee will receive notification from SDEAA).

       3.The reports on the degree of similarity that will include the resolution of the doctoral supervisor, of the academic guidance and intergity committee, as well as of the person/persons designated by the doctoral school A 20 - Rezolutie raport de similitudini.docx

        4. SDEEA prepares the similarities report (which will later be sent to the coordinator and the guidance committee) (if changes are necessary at the level of the thesis –regarding similarities – the coordinator and the guidance committee will receive notice from the SDEAA).

           5. The coordinator will receive the minutes – catalog from SDEAA.    

            6. The final report is supported (on the date of the submitted application). ! The support of the report is public and will be posted on the SDEAA portal!

           7. After the final report is defended, the following are submitted to the secretariat (by the doctoral student or the doctoral student's coordinator): 

               - the minutes - catalogue received from the SDEAA (complete)

               - the minutes of the defense within the guidance committeeProces verbal comisia de indrumare si integritate academica.docx

               - the agreement of the commission membersAcord asupra tezei de doctorat membru comisie.docx

                      (the procedure must not exceed 30 days)

STAGE II (administrative documents for starting the public defense):

(3 months + 5 days)

The doctoral student submits to the secretariat:

      1.The official thesis (2 printed and bound copies + 1 electronic copy) + OPINION of the coordinator uploading the thesis on the national platform 

      2.Summary of the analysis of the similarities report (validated and signed by the coordinator)

     3. Summary of the doctoral thesis (printed) 

     4.Thesis submission certificate to the library (building C, 3rd floor))ADEVERINTA de la biblioteca atestare depunere teza.doc

     5.PhD student CV - dated and signed

    6. List of scientific publications - dated and signed 

    7.Student's statement - doctoral student regarding the acknowledgment regarding the publication in preview (calculating 3 months from the date of uploading on the platform) PhD student declaration_public consultation of thesis (4).docx

                                  NOTE: The thesis will be sent to the national platform where it will stay for 3 months)


STAGE III (request for public defense of the thesis):

THE PROCEDURE WILL BE INITIATED WITHIN A MAXIMUM OF 10 DAYS FROM THE EXPIRY OF THE THESIS PREVIEW PERIOD IN THE NATIONAL PLATFORM (SDEAA is waiting for the CSUD validation opinion).

The doctoral student submits to the secretariat:

  1. Proposal of the coordinator with the members of the public commissionPROPUNERE COMISIE SUSTINERE PUBLICA A TEZEI.doc
  2.  Application for public defense with the exact date of defense (at least 25 calendar days before the date of defense) A 9 request for public defense.doc  Important: The proposed date for the public defense may NOT be earlier than the date previously estimated in the declaration of submission of the thesis on the platform (art. 31, p. 13 – Institutional Regulation for the organization and functioning of doctoral studies 2024)
  3. CVs of the members of the proposed committee - dated and signed (at least 25 days before the date of thesis defense)
  4. Final reports of the members of the commission – dated and signed 
  5. Electronic form regarding the public defense of the thesisFORMULAR anunt privind sustinerea tezei de doctorat.doc
NOTE: In order to obtain the acceptance of public defense, all documents are brought to the secretariat together and on the same day. The lack of any of these documents leads to the impossibility of public support!

STAGE IV – CONFIRMATION OF THE SCIENTIFIC TITLE OF DOCTOR (after the public defense of the thesis):
The doctoral student submits to the secretariat:


1. Thesis completion documents:

2. Electronic file (CD):

In each field (as the case may be) only one PDF file can be uploaded, electronically signed. If there are multiple files corresponding to that field, they are merged into a single PDF file that is then electronically signed.

 - The doctoral student's file, in Word format;  fisa doctorandului Cd electronic.doc

 a)Scanned copy of the identity document of the doctoral student

b) Scanned copy of the birth certificate of the doctoral student

c) Scanned copy of the marriage certificate and other documents attesting to the change of name, if applicable

d) CV of the doctoral student

e) Decision on admission to the doctoral degree program

f) The doctoral university study contract and the addenda amending the clauses of the study contract, as the case may be

g) The decision to appoint the academic guidance and integrity commission, constituted according to the provisions of art. 14 para. (13) of the Framework Regulation on doctoral studies, approved by OM no. 3020/2024, for doctoral students enrolled starting with the academic year 2024-2025

h) Application signed by the doctoral student, registered at the doctoral school, regarding the start of the thesis evaluation procedures by the academic guidance and integrity committee, endorsed by the doctoral supervisor, in order to pre-defend*

i) Scanned copy of the declaration signed by the doctoral student and the doctoral supervisor regarding the assumption of responsibility for ensuring the originality of the content of the doctoral thesis, as well as the observance of the quality and professional ethics standards*

j) The reports on the degree of similarity that will include the resolution of the doctoral supervisor, of the academic guidance and intergity committee, as well as of the person/persons designated by the doctoral school A 20 - Rezolutie raport de similitudini.docx

k) The acceptance report of the doctoral supervisor and the agreement of the members of the academic guidance and integrity committee concluded following the presentation of the doctoral thesis*

l) The report drawn up by the doctoral school in order to validate the initiation of the public defense procedure of the doctoral thesis, after the end of the 90-day period of public consultation of the doctoral thesis, accompanied by documents attesting the course of the study program*

m) CSUD decision validating the initiation of the public defense procedure of the doctoral thesis*

n) The request for fixing the date of public defense of the doctoral thesis, formulated by the doctoral student, endorsed by the doctoral supervisor and by the president of the defense committee, registered at the secretariat of the doctoral school at least 25 calendar days before the proposed date for defense*

o) The announcement for public support, drawn up at least 20 calendar days before the proposed date for support. The announcement must include the location, date and time of defense, the doctoral student, the supervisor(s) of the doctoral program, as well as the place where the full text of the thesis can be consulted in printed format*

p) The decision to appoint the doctoral committee, constituted according to the provisions of art. 14 para. (12) of the Framework Regulation on doctoral studies, approved by OM no. 3020/2024*

q) The reports of the official reviewers, members of the doctoral committee, signed by them, in the form of scanned copies or electronically signed documents, submitted at least 15 days before the thesis defense*

r) The report of the doctoral supervisor, submitted at least 15 days before the defense of the thesis*

s) The minutes of the public defense of the doctoral thesis and the annex with questions and answers, containing the proposal for awarding the doctoral degree, signed by all the members of the doctoral committee, in the form of a scanned copy or an electronically signed document*

s) The doctoral thesis and its annexes, in electronic format (pdf format, excluding scan)*

t) List of publications resulting from scientific research in the doctoral study program, published or accepted for publication, if applicable, and scanned copies of those publications*

t) The declaration of the doctoral student regarding his/her options regarding the publication of the doctoral thesis on the national platform, in accordance with the provisions of art. 71 para. (13) and (14) of the Higher Education Law no. 199/2023, as subsequently amended and supplemented*

  ț) Thesis summary in English.

 

Remarks:

* the documents on the CD will be named exactly as in the list presented above;

*on CD, the accepted format is PDF for each document, except for the PhD student file (Word format).

 

Comments on public support:

 

  • The public defense announcement must be dated (at least 25 days before the date set for the defense) and published on the website of the doctoral school together with the thesis abstract and the doctoral student's CV. The names of the members of the public support commission will be hyperlinked to their CVs.
  • the link where the announcement can be found on the Doctoral School website is sent to BSUD at least 25 days before the defense. BSUD posts the announcement on the http://www.uaic.ro/studii/studii-universitare-de-doctorat/sustinerea-publica-a-tezelor-de-doctorat/  and announces the support and form of financing to the Financial-Accounting and Human Resources Departments.
